Position Summary
Working closely with the leadership team locally, this role is responsible for supporting and delivering general HR activities and providing administrative support to the HR and Operations teams. The post-holder will be the subject matter expert on all HR systems and reporting procedures. They will also be involved in coordinating and delivering HR projects/ initiatives and supporting with general HR issues and recruitment requirements.  The role will act as a trusted HR partner to operational leaders in South Africa, providing advice, guidance and support on people-related matters to ensure the effective delivery of business objectives.


Duties and Responsibilities
Recruitment 
•    Coordinates all recruitment activity i.e. placing of vacancies internally and online, screening of cv’s, conducting of telephonic interviews, shortlisting potentially suitable applicants to present to Operations, scheduling of the face-to-face interviews and actively participating in the assessment and interview process. 
•    Must be able to recruit against the Employment Equity plan where applicable. 
•    Prepare and issue recruitment packs/offer letters to all new hires as required by the role and ensures that all start-up information is returned in a timely fashion to ensure prompt processing. 
•    Create and compile new employee files, ensuring they are maintained, kept up to date and archived appropriately, as well as maintaining employee records on the Oracle Cloud HRIS. 
•    Daily or weekly filing of any documentation relating to employees i.e. signed off probation letters, warnings, resignation packs etc. 
•    Supports Employment Equity initiatives by maintaining accurate employee demographic information and assisting with the preparation of Employment Equity reports and submissions.
•    Assists with the collection, analysis and reporting of workforce data to support Workforce Skills Planning (WSP) and Annual Training Report (ATR) submissions.
•    Coordinates training records and collates supporting documentation required for Skills Development and B-BBEE audits.
•    Liaises with training providers and internal stakeholders to ensure learning interventions are accurately recorded and reported in accordance with SETA and legislative requirements.
•     Assists in monitoring training spend, attendance and completion records to support organisational learning objectives and Skills Development compliance.
•    Provides administrative support in relation to B-BBEE initiatives, including the collection and maintenance of relevant supporting documentation.
•    Produces workforce and people-related reports and analysis to support business decision-making, workforce planning and compliance requirements.
•    Acts as the subject matter expert for HR systems, employee data management and workforce reporting.
General HR Activities
•    Provides administrative support for disciplinary and/or grievance meetings (letters of invites, meeting minutes, letters of outcome, etc.) 
•    Assists and collates information required for the monthly HR reports i.e. Change Report, Headcount Report, Recruitment Tracker, Attrition Report, and any other ad-hoc reports required. 
•    Conduct exit interviews and identify attrition trends to feedback to leaders and HR. 
•    Promotes the Employee Wellness Programme by means of desk drops, posting of marketing material e.g. posters on the notice boards and/or electronic posters via e-mail. 
•    Proactively collates and compiles training material e.g. Performance Management training for Managers and Team Leaders. 
•    Facilitates the HR Induction and any other HR related training for new & existing employees. 
•    Provides administrative support for the annual salary review process, Road to Rewards, and AIP incentive schemes. 
•    Co-ordinates the annual PULSE staff surveys, the quarterly Speak Up surveys and hosting of the Focus Groups. 
•    Produces all change of employment details letters, confirmation of employment letters and exit documents for leaver’s. 
•    Conducts bi-annual personal details audits in order to ensure that employee details are current, accurate and maintained in the Oracle HRIS. 
•    Updates and systematically organises the HR Network Drive/ W: Drive. 
•    Maintains up-to-date and accurate Job Descriptions and Organograms. 
•    Coordinates ‘Town Hall’ communication sessions as required. 
•    Responsible for maintaining accurate and up-to-date information on the notice boards, taking care to refresh the information as applicable. 
•    Prepares benefits packs. 
•    Distributes pay slips to staff. 
•    Sends out global communications as required by the Senior Manager, HR, EMEA. 
•    Preparing the monthly payroll schedule and submitting it on the appropriate deadline date to TTEC. 
•    Works on ad-hoc projects as required.


Knowledge & Experience
•    Relevant qualification in Human Resources Management, Industrial Psychology or a related field.
•    3-5 years experience in a generalist HR Administration or HR Officer role.
•    Sound knowledge of South African labour legislation including the Basic Conditions of Employment Act (BCEA), Labour Relations Act (LRA), Employment Equity Act (EEA) and Skills Development Act.
•    Working knowledge of Employment Equity reporting and workforce planning processes.
•    Understanding of Broad-Based Black Economic Empowerment (B-BBEE) requirements, specifically the Skills Development and Management Control elements.
•    Experience supporting Workplace Skills Plan (WSP) and Annual Training Report (ATR) submissions will be advantageous.
•    Experience working with HR Information Systems (HRIS) and producing HR metrics and reporting.
•    Advanced proficiency in Microsoft Office applications, particularly Excel.

•    Self-motivated, proactive and able to work independently while also contributing effectively as part of a team.
•    Demonstrates discretion and professionalism when handling confidential employee information.
•    Strong systems aptitude and advanced computer literacy, particularly in Microsoft Excel, Word, PowerPoint and HR systems.
