Director of Global IT Asset Management and Intake
 
Description
 
This managing level position is business leader reporting to the Executive Director of IT Client Services and Delivery that is responsible for the development, tracking, auditing, maintenance, and reporting of performance metrics (for example, technical inventory management, purchasing SLA, IT Financials and Technical Intake). The role oversees the delivery of analytics to evaluate and ensure efficient, cost effective operational solutions which support systems processes and functional requirements, as well as the resolution of problems in technology asset or procurement solutions. This position has direct accountability and oversight responsibilities of all IT purchases (software and hardware) via ServiceNow systems and assure prior SLA management of requests and inventory execution. Role requires a proactive and self-starter leader with influence to get others to collaborate and support Asset Management related initiatives. In addition, leader in this position will have oversight of assuring stakeholder new business intake requests are managed through IT governance processes into technical solution execution.
 
Essential Duties & Responsibilities
 

•       
Oversight of tracking the life-cycle of assets from purchasing through the scheduling of retirement, warranty, maintenance expiration dates, renewals, and disposal of assets.

Responsible for documenting and maintaining asset inventory records in the asset management database, maintaining external vendor relationships and work with vendors, internal stakeholder such as Accounting and Facilities during yearly physical and software audits to identify and verify asset counts.

Interprets and communicates purchasing procedures to departments; assists departments in initiating requisitions and orders, and solves problems with orders

•       
Liaison to Sourcing, IT Department Leadership and IT Project Management Office for obtaining accurate quotes for all IT purchases.

•       
Assists new hire in learning IT Asset Management job tasks, rules and procedures as well as yearly uptraining.

•       
Partners with Executive Director to develop and define the technology strategy around Asset Management and Intake.

•       
Provides leadership through functioning as the key liaison and/or escalation point for physical and software inventories, dashboard and scorecard inquiries, and/or process initiatives.

•       
Consults on inter- and/or intra-regional systems and business process activities.

•       
Provides strategic direction and serves as a liaison to ensure technology or process owners have access to the required information and training for effective system or process operations around asset management and intake.

•       
Negotiates agreements on deliverable due dates, requirements, and resources with leadership for asset management related tasks or audits.

•       
Develops, prepares, and utilizes reports to track operational performance across the full system lifecycle within and across business functions or areas.

•       
Oversees the development and implementation of effective resource (for example, associates, vendors, infrastructure) capacity planning, demand management, and workforce planning.

•       
Ensures the development, tracking, maintenance, and reporting of performance metrics (for example, data quality, customer metrics, financials).

•       
Reviews and leverages summary performance metrics and outcomes to drive ongoing operational changes and improvements.

•       
Provides senior leadership with local, national, and international trends and legislative changes in asset management for technology and information systems.

•       
Oversees the preparation of source documents and technical/business manuals and enforces the use of established and documented IT processes, tools, and best practices.

•       
Consults with departments and IT managers to ensure general security-physical, infrastructure, network, application controls are in place.

•       
Partners with departments and IT managers to influence and establish cross-functional and/or cross divisional task forces to identify and document functional requirements, workflow, information sources and system specifications.

•       
Ensures department maintains a knowledge repository of current asset management and intake technology processes.
 
Job Specifications :
 
Minimum Qualifications :
 

•       
Minimum Three (3) Years Management Experience.

•       
Minimum two (2) years managing operating or capital budgets.

•       
Bachelor's degree in Business Administration, Supply Chain, or related field and minimum six (6) years’ experience in business operations, IT consulting, business analysis, or a related field.
  • Strong communication skills, including the ability to organize and communicate for written and oral presentations. 
  • Advanced MS Office skills.

Preferred Qualifications
 

•       
Five (5) years’ experience working for an IT organization.

•       
Five (5) years’ experience working on cross-functional project teams.

•       
Accredited process certification (e.g., Six Sigma, Lean IT, PMP).
  • Experience with Oracle Purchasing, iProcurement, and Asset Management System
  • Experience with large scale auditing practices and procedures
  • Three (3) years’ experience in project management forecasting and governance oversight
  • Two (2) years’ experience in IT Asset Management is a plus
