About the Role:

As the Executive & Personal Assistant to the Office of the CEO for our publicly traded company, you will play a pivotal role in supporting their day-to-day activities, ensuring seamless operations, and enabling the CEO and Chief of Staff to focus on strategic initiatives. Applying your high level of professionalism, discretion, and availability, you will handle a wide range of administrative and personal tasks to streamline the CEO's day-to-day activities and ensure they are fully prepared for professional and personal commitments.

What You’ll be Doing:

  • Maintain constant availability to address the CEO and Chief of Staff’s needs, including evenings, weekends, and holidays, to ensure their efficient and uninterrupted workflow
  • Manage and organize the CEO and Chief of Staff’s complex and dynamic calendars, including scheduling meetings, appointments, and travel arrangements, both domestic and international, while being able to pivot quickly when urgent meetings come up and travel plans change
  • Act as a gatekeeper for the CEO, screening and prioritizing the CEO’s inbox, emails, phone calls, and messages, ensuring that critical matters are addressed promptly
  • Arrange all travel logistics, including flights, accommodations, ground transportation, and itineraries, with a strong focus on efficiency and detailed communication
  • Handle sensitive information and maintain the utmost discretion in all interactions, as you will be privy to confidential company matters
  • Prepare and maintain reports, presentations, and documentation for the CEO's use, ensuring accuracy and completeness, as guided by the Chief of Staff
  • Attend executive-level meetings, take minutes, and follow up on action items, ensuring that decisions and tasks are completed on time
  • Assist the CEO in various projects, research tasks, and special assignments, providing analytical and administrative support
  • Interface with internal and external stakeholders, including board members, investors, and clients, on behalf of the CEO and Chief of Staff, maintaining professional relationships
  • Proactively anticipate and resolve issues, bottlenecks, and challenges to ensure the CEO's objectives are met
  • Handle personal tasks as needed, such as coordinating family logistic

What You Bring to the Role:

  • Bachelor's degree in business administration, management, or a related field (preferred).
  • 5+ years’ experience as an executive assistant or senior administrative role supporting C-level executives.
  • Exceptional organizational skills and attention to detail.
  • Outstanding written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Ability to handle high-pressure situations with grace and composure.
  • Strong problem-solving and decision-making abilities.
  • High level of integrity, discretion, and professionalism.
  • Flexibility and adaptability to accommodate the CEO's 24/7 needs & shifting priorities.
  • Previous experience in a publicly traded company is a plus.
  • Previous experience working with and booking private travel is a bonus.

Compensation & Benefits

The anticipated starting salary range for individuals expressing interest in this position is $80,000-$120,000. This position is eligible to participate in an annual incentive program. Actual compensation offers to a candidate may vary based upon geographic location, work experience, education and/or skill levels.
